CISSA Committee Role Descriptions

Executive Committee

President & Vice President

As President or Vice President, you are responsible for leading the club and ensuring each member of the committee feels empowered to achieve what they want to in their roles.

Both of these roles encourage proactivity and leading by example. They should also inspire the committee by highlighting the amazing things they achieve throughout the year.

The Vice President shares these responsibilities with the President, but they often play a supporting role. They must have a good grasp on all aspects of CISSA, and be willing and able to step up when things get busy!

You must have been part of CISSA's committee or one of its officer teams (sub-committees) in the past to run for either of these roles.

Key Responsibilities

  • Managing the committee as a whole, as well as individual teams
  • Shaping CISSA’s direction for the year
  • Encouraging proactivity & creativity amongst the committee members
  • Creating a supportive and empowering community within the committee
  • Making decisions in accordance with CISSA’s aims
  • Representing CISSA and CIS students as a whole
  • Advocate for all of CISSA’s members, and CIS students
  • Liaising with industry/sponsors
  • Speaking at events and ensuring they run smoothly
  • Upholding the principles of service to our members, selfless volunteering, and promoting democracy

Secretary

The secretary is one of the most integral roles in CISSA. They make sure that CISSA is running smoothly on a day to day basis. Not only that, they help shape CISSA’s vision, along with the other executives.

Key Responsibilities

  • Taking the minutes at meetings
  • Organising room bookings
  • Responding to messages to our Facebook page
  • Ensuring that all aspects of CISSA are running smoothly, such as making sure all tasks are delegated properly
  • Help ensure smooth running of the recruitment process for team officer roles conducted by the P&C Director

Attributes of this role could be:

Treasurer

The Treasurer is CISSA’s banker. They ensure CISSA achieves its aims by allocating money responsibly. The Treasurer plans out the coming year, budgeting events and making sure we do the most with what we have!

They also have a key role on the executive committee, helping guide CISSA along with the other executives.

Key Responsibilities

  • Apply for UMSU Grants
  • Manage the expense spreadsheet
  • Ensure committee is reimbursed for any out of pocket expenses
  • Manage the membership list
  • Ensure Attendance Sheets are filled out at events when required
  • Ensure the committee is using the club money wisely

Attributes of this role could be:

  • Good at working with spreadsheets
  • Has an eye for detail
  • Happy to chase people up for receipts
  • Has a high-level appreciation for how the club money should be spent

Education Director

The Education Director is on the executive committee, and hence also helps to shape CISSA’s vision. Aside from typical executive duties, the Education Director works to create initiatives and events to extend upon the skills students learn at university, creating initiatives that help students learn outside of their regular subjects!

Key Responsibilities

  • Running initiatives such as:
    • Technical interview workshops/meet-ups
    • Intro to coding workshops - for students that are interested in coding but aren’t able to make the full commitment of a class like COMP10001
    • Web/App development workshops - this is something that isn’t taught much in class
  • Manage the education subcommittee, which has flexible roles, but could be composed of:
    • UX Lead
    • Technical Interview Lead
    • Web/App Development Lead

Events Director

The Events Director’s main responsibility lies in planning events and ensuring they run smoothly on the day. It is their job, together with the subcommittee they lead, to ensure that logistics are accounted for, assist attendees and handle any mishaps that may occur at the event.

Key Responsibilities

  • Manage the team of events subcommittee members. This includes:
    • Ensuring enough committee members are available to help out on the day of events
  • Coordinates recurring events such as BBQs

General Committee

There is a proposed constitutional ammendment that if passed, will see the replacement of this role with the Design Director and Marketing Director.

Publicity Director*

The Publicity Director is in charge of maintaining CISSA’s online presence and ensuring that the club is consistently engaging with the wider community. They should work to ensure that what CISSA puts out online is relevant, interesting, and sets a good example for all students in tech.

Key Responsibilities

  • Coordinate the Publicity Schedule (a schedule of when to post events, re-share events, post job opportunities etc. on the Facebook page)
  • Ensure the newsletter is sent out on time on a weekly basis
  • Manage the social media accounts, including Facebook, Twitter and Instagram
  • Oversee the publicity subcommittee, which is composed of:
    • Design subcommittee members, who work to produce event posters etc.
    • Content subcommittee members, who work to produce blog posts, event descriptions etc.

Attributes of this role could be:

This role is subject to the passing of a constitutional ammendment.

Design Director*

The Design Director is responsible for the visual elements of CISSA’s branding and communications. This includes designing for merchandise, events, social media, and any other visual needs. The Design Director works closely with the Marketing Director and other directors to ensure that all designs are both creative and aligned with CISSA’s goals.

Key Responsibilities:

  • Create designs for merchandise, comics, events, social media banners, and any other visual needs.
  • Maintain and develop CISSA’s visual identity, ensuring consistency across all design outputs.
  • Collaborate with the Marketing Director to align design work with marketing strategies and timelines.
  • Manage the design process from concept to completion, ensuring high-quality and timely delivery.
  • Stay updated on design trends and tools, particularly in Figma and Adobe Suite, to ensure the use of best practices.
  • Work closely with other directors to understand their design needs for respective events and provide creative solutions.
  • Manage all creation of designs relating to the club mascot, Click

Marketing Director*

The Marketing Director is responsible for overseeing CISSA’s online presence and developing comprehensive marketing strategies to engage and grow the community. This role involves both strategic planning and hands-on execution, ensuring that all content is timely, relevant, and aligned with CISSA’s goals. The Marketing Director works closely with the Design Director to ensure engaging marketing.

Key Responsibilities:

  • Develop and execute marketing strategies across all social media platforms, including Facebook, Instagram, LinkedIn, and others as needed.
  • Plan and manage the content calendar, ensuring a consistent flow of engaging posts, stories, and reels.
  • Collaborate with the Design Director to ensure all visual content aligns with marketing objectives.
  • Analyse and report on the effectiveness of marketing campaigns, using metrics like engagement, reach, and conversions to refine strategies.
  • Coordinate with other directors to promote events, initiatives, and announcements.
  • Ensure the newsletter is sent out on time on a weekly basis
  • Planning out marketing strategies employing the CISSA Mascot

Industry Liaison

The Industry Liaison is the bridge between the student world and the industry world. They are often the point of contact for our numerous sponsors. They should have a good knowledge of CISSA as a whole and be proactive in promoting our club to industry.

Key Responsibilities

  • Responding to Industry emails
  • Sending out our sponsorship prospectus
  • Organising events such as the Case Competition
  • Organising frequent tech talks with CISSA’s sponsors

IT Director

The IT Director manages the development subcommittee. They ensure that all the moving technical parts of CISSA are running smoothly, from our websites to our bots. They should have good technical skills, but more importantly, should be driven and willing to learn!

Key Responsibilities

  • Continuously improve CISSA’s technical backend, including things like Discord bots
  • Oversee CISSA's internal tooling, including platforms such as Discord, Google Workspace, Notion, and so on
  • Manage the IT team
    • The IT team is usually composed of ~6 developers, titled IT Officers
    • Subcommittee members are primarily tasked with the actual development of our websites/bots/automations
  • Ensure that the CISSA, Catalyst, Codebrew, and any other websites are up to date.
  • Think of new and innovative ways to improve CISSA’s workflow and automate tasks

Projects Director*

The Projects Director is responsible for leading CISSA’s projects team. The projects team will focus on developing software solutions for the benefit of wider university community, with aim to facilitate student connection and improve on university life. This role involves strong team management skills; a deep understanding of software development tools and pipelines; the ability to mentor new developers and a passion for building and maintaining software. The Projects Director should also have a keen vision for projects which will benefit the wider student body.

Key Responsibilities:

  • Source new projects and create ideas that CISSA can create to benefit the wider university student body.
  • Oversee the CISSA projects team and ensure projects are created to be useful to all university students and easily maintainable for the future.
  • Manage the Projects team:
    • The Projects team is usually composed of 2 projects each with up to 5 developers, called Projects Officers.
    • Subcommittee members are primarily tasked with the actual development of the given project which could include websites/apps/bots.
    • Projects director is responsible for helping developers improve on their technical skills and learn about common software development practices used in industry.
  • Seek new project ideas for future development from various avenues such as the CISSA Projects team, CISSA committee, hackathon winners or other university students.
  • Think of ways to continue to maintain existing projects so future students can use them.

Diversity Director

The Diversity Director is in charge of promoting diversity within the CISSA community. As per CISSA's constitution, the Diversity Director must be a woman, have a minority gender identity, or be from an Indigenous background.

This position involves running diversity-focused events and initiatives, possibly involving working with industry. From huge Women in Tech expos to intimate DiversiTEA gatherings, you get to continuously promote diversity throughout the year!

Key Responsibilities

  • Promote diversity in the CISSA community
  • Organise diversity-related events/initiatives
  • Typical events include:
    • DiversiTEA - our weekly gathering over coffee/tea at House of Cards. As Diversity Director, you’re in charge of leading this event and ensuring it has a focus on diversity and has an open welcoming atmosphere!
    • Panel/speaker events such as the Women in Tech expo!
    • ComputeFest - a full-day event to empower & engage the next generation of tech talent from high schools!
  • Advocate for underrepresented groups in the hiring process for officers
  • Assist executives and P&C Director to exercise the diversity quota for officer teams and address + resolve challenges
  • Seek & execute strategies to get more diverse applicants for internal hiring, and more diverse attendees at our events

Competitions Director

The Competitions Director is responsible for all things competition related. They focus on ideating and organising hackathons and other competitive events throughout the year, including CISSA's annual Codebrew competition in Semester 1.

Key Responsibilities

  • Organising the venue (online/in-person) and platform (devpost)
  • Ideation of Hackathon themes
  • Event Logistics (Merchandise, Carepacks, Sponsorship)
  • Working with Publicity to market the event
  • Managing the competitions team of ~2 officers

Product Director

The Product Director is in charge of CISSA’s UI/UX Community and general presence in the ever-growing design and product space at UniMelb. This includes areas such as UI, UX, Product Management, Product Engineering, Product Design, Human-Computer Interaction, and so on. They should plan and run events for the UI/UX & HCI Community, as well as create other product-related initiatives.

Key Responsibilities

  • Coordinate Product Community activities such as workshops, industry and social events.
  • Manage the CISSA Product Community Facebook page and Discord channel.
  • Create product-related content for CISSA’s community for our various social media accounts, blog and newsletter.
  • Organise new initiatives for the CISSA Product Community.
  • Create a greater connection within CISSA to students in product-related degrees.

  • Deeply interested in UI/UX and Product Management related areas.

  • Innovative, with plans and ideas for new events and initiatives.

People & Culture Director

The People & Culture (P&C) Director is in charge of CISSA’s internal community and HR. They will assist in orchestrating a consistent and professional hiring process for officers. Their responsibilities also include addressing internal complaints/grievances, organising internal events, facilitating team bonding, and so on.

Key Responsibilities

  • Organising a consistent, professional, and unbiased hiring process for team officers
  • Oversee the welcome and onboarding process for new team officers
  • Organise internal events for team bonding including informal meals, social activities, and the annual CISSA retreat
  • Help with exercising the diversity quota for officer teams, and resolving associated conflicts/challenges
    • Collaborating with executives and Diversity Director to do so
  • Handle complaints of bullying, sexual harassment, and etc
  • Help balance the workload of committee members
