Prerequisites from @ana-0k

  • Email address from Ana (to set up the Calendly account)
  • List of time slots available for meetups (please separate by location)

Note:

Calendly can also be linked to a Google Calendar. This could be useful for dynamically managing the availability of time slots.

Example Format:

location (e.g., "Hong Kong") - date - times
location (e.g., "Hong Kong") - another date - times

just an important note to remember: never send a calendly link (or any other link) in your first cold email cause that would ruin deliverability. It's ok to send it in a reply. I heard that the same applies to telegram, but it's better to double check with nReach.

I wonder if its better to receive their calendly and book instead. Although its a bit more work, I think the feeling is different when somebody selling to you tells you to do work to get on their calendar.

hey @minhyeong112 here's my email and approx availability during HK conference -- it's too early to build an event schedule for HK, so im just leaving everything as open for your potential leads, and will plan around that or adjust meeting time later 1 on 1, based on priority levels

1. Email

(wonder if making my email @ubq.fi would make sense/a difference for this purpose? @0x4007)

2. Slots

Hong Kong - Feb 17 - from 11am to 5pm
Hong Kong - Feb 18 - from 11am to 5pm
Hong Kong - Feb 19 - from 11am to 5pm
Hong Kong - Feb 20 - from 11am to 5pm
Hong Kong - Feb 21 - from 11am to 5pm

all local times of course :) GMT+8
I guess 1-hour slots would make sense

I think the feeling is different when somebody selling to you tells you to do work to get on their calendar.

agree that this would be ideal but wondering it that seems doable at all

  1. Setting up a forwarder you just need to accept the email from cloudflare.

Also you might not want to share your email publicly on here. It's a public page and you'll likely get spammed so I always dm it.

@0x4007 please share access to the ubiquityDAO calendly and I will modify it to have ongoing virtual opportunities to meet, as well as special links for in-person meeting opportunities at events

Thanks, calendly is done (https://calendly.com/ubiquitydao)

but requesting that you upgrade to standard ($10/month) in order to unlock:

  • multiple events
  • email/text reminders

Here is what the events look like when you log in, but notice that one of them is greyed out and doesn't show up on the public link. This is because the free tier only allows you to have 1 event type.
I think this is totally worth it to keep things organized for each event.

I think a single event type is fine.

We can use the mobile app and its notifications for reminders.

We actually don't have infrastructure to pay recurring costs so each team member just pays it for themselves if necessary.

ok got it!

I still think that the calendly subscription for different event types is worth it since the entire purpose of the lead gen effort is to set up appointments at the various events. I can facilitate the annual payment (10/month) or the monthly payment (12/month) if you'd like.

Or we can leave it as is, but then the calendly link will only show one booking opportunity (for now, HK consensus) until it changes to the next conference.

Either way, this task is complete, and I will start giving https://calendly.com/ubiquitydao to anyone that wants to meet Ubiquity at HK Consensus :)

We can make a generic "one hour meeting event"

If we really need separate events we can make separate accounts and sync to the same calendar too.

con of using a generic "one hour meeting event":

  • time zones for virtual meetings should be dynamic (i.e. you look at it in your local time and others look at it in their local time), but time slots for in-person meetups should have fixed time zones (i.e. we should decide on a time in HK local time, even if we book the meeting before we travel to the conference). there is no other way to cleanly separate these properties than to have them as separate events

con of using separate accounts:

  • since we already don't like using emails/email forwarders, it doesn't seem worth it to have a separate login for each conference and manage the different calendlys separately (and create more work for people by sending multiple links for people to book a slot) it is doable, but kinda defeats the purpose of using calendly to be and look organized.

not trying to be a "no-man", but I really think it will be much better to have a "virtual meeting" choice and then a separate choice for each conference that is fixed to the time zone of that event. and to be clear, it's not $10/month/event. It's just $10/month to unlock "multiple" events.

Sure but in case you want to save on the money we have unlimited free email forwarders.

Actually @ I have a catch all set up so I can make up any address and it'll all go into my Gmail inbox so it's not really a big deal for me

@minhyeong112

ok let's give it a try!

I'll revert the base calendly account

can you plz create a forwarder for "calendly-consensusHK2025" or whatever you'd like?

You can register them and I'll forward the registration emails to you manually via telegram. I get a copy there.

For convenience sake we can share the same password for all calendly

If you need a namespace of dynamic forwarders I can write a script/automation in a few lines of code on Cloudflare. For the short term I will manually forward.

@minhyeong112

If you need a namespace

ok cool

just fixed up the calendlys:
Intro Call with Ubiquity Founder
Meet Ubiquity at Consensus Hong Kong

Will use these to get potential pilot partners and potential investors to schedule a chat. Will spin up new free calendly accounts for each in-person event. Plz close task if approved.
