Update reception process for SR2025 #210

This includes a few changes for SR2025:

  • The removal of chaperones, and introduction of ushers
  • Arriving volunteers to meet volunteer coordinator in rest area

- Boxes to store battery charging kits.
- Red Lanyards for media consent denials.
- Copy of the Safeguarding policy
- Pens

Do we want to give them a device for the helpdesk system? Or is it expected they'll just use smartphones?

Also probably a good idea to have paper for writing down notes e.g:

  • If helpdesk system goes down, we need to write down who arrived
  • If the volunteer coordinator isn't contactable we need to write down what volunteers have arrived

4. If there's time, the chaperone can field questions from the team, before heading back to reception to induct the next team.
1. Collect the volunteer's name so that this can be passed on to the volunteer coordinator.
2. Instruct the volunteer to proceed directly to the rest area and instruct them to get a t-shirt. Inform them that the volunteer coordinator will meet them there.
3. Inform the volunteer coordinator, via phone, that the volunteer has arrived.

Do we want to cover what to do if the volunteer coordinator isn't available?
Could maybe be going too deep in the details

What do we do if they're missing items? Missing kit form or send them to Helpdesk?

I think pushing people towards Helpdesk makes sense. It's probably a good idea to keep reception moving, and helpdesk will be best placed to tackle this anyway.

I don't believe we've had this issue in the past, but it's definitely one to account for.


Offer each competitor a bag of swag as they enter.

### Team entry/exit recording

You will have a sign-in/sign-out sheet for team supervisors to record that their teams have arrived, make sure they fill in the details and sign it.
You will have been provided with access to the competition helpdesk system. One of the things this records is whether teams are present. When a team first arrives each day, please mark the team as arrived in the system. If a teams arrive and leave throughout the day, please update the system accordingly.

Without the supervisor actively signing a sheet, I think it might be possible for a team to sneak in without a supervisor. We could do either:

  1. Tell receptionists to make sure there's a supervisor in their team.
  2. Add a sign in sheet for the sole purpose that we make sure teams only arrive with their supervisor.

After discussion with everyone it seems we'll go with option 1.

Thanks so much for doing this by the way! The new procedure is much better


1. The team should proceed to their pit (Ushers and Shepherds will be available to provide directions).
2. When ready for their first battery, the team should proceed to their nearest helpdesk.
3. Helpdesk will perform a safety inspection of the robot and provide the team with a battery when it passes.

Note: There aren't any documentation changes in this PR for helpdesk and what they need to do. Are they coming?
