Session Chair Guidelines

The session chair would be the person who is responsible for smooth movement of all the talks of the conference and hence the conference itself.

A session chair's responsibilities are:

  • Make the required announcements
    • Lightning talks
    • Sponsor (impromptu)
    • Open Spaces
    • Lunch
    • Tea
    • Poster
    • Other impromptu stuff
  • Make sure that the speaker laptops are connected and tested with the projector
    • This should be done during the tea break for the morning session talks & the lunch break for the evening session talks
  • Inform the speaker about the timing and point them towards the time keeping TV
  • Inform the central session manager once the talk has started
  • Make sure that the next speaker is in the room when their previous talk is going on
  • Get the consent form signed
  • Manage any CoC violations with the speaker
    • If anything violating the CoC was spoken, note it down and pass it to the editor
  • Inform the central session manager once the talk has ended
  • Ensure that you have copy of the slides as a backup for the speaker, in-case something goes wrong with the speaker's laptop.
